Redacting a deposition transcript without breaking the record
A deposition transcript is unusually sensitive to layout. Page and line citations must continue to point to the same testimony after redaction, so a workflow that reflows text or converts the transcript into a word-processing document is a poor fit.
Preserve pagination and line numbers
Redact in the PDF itself and do not delete lines, resize pages, or reconstruct paragraphs. A proper redaction removes the selected content while leaving surrounding glyph positions untouched. If a tool replaces text and reflows the line, every later citation on that page becomes suspect.
Keep the certified original unchanged. Create a clearly named working copy, record its hash if chain of custody matters, and export the public or served version as a new file.
Build the search list from the testimony
Start with known personal identifiers and protected names, including spelling variants used by the reporter. Add phone numbers, email addresses, street addresses, account fragments, dates, and case-specific confidential terms. Search the entire transcript, including the title page, appearance pages, index, errata, and reporter's certificate.
Search is only the first pass. Read the surrounding testimony because context can identify a person without repeating a name. A witness may be identifiable from a job title, project name, medical condition, or relationship.
Treat transcript exhibits separately
Attachments may be text PDFs, scans, photographs, spreadsheets converted to PDF, or email printouts. They need their own review and can carry metadata and embedded files that are absent from the transcript. Follow the exhibit inventory process in how to redact exhibits.
Verify citations and extraction
After applying the redactions, compare the page count, page labels, and line numbering with the original. Search and extract text from the released copy using a different parser. The removed words should be absent; the words immediately before and after them should survive exactly. Check bookmarks and attachments, then open several cited pages to ensure references still land correctly.
If a confidentiality order requires a designation or redaction reason, place that visible label intentionally. Do not confuse the visible label with the destructive removal beneath it.
Frequently asked questions
Will redacting a transcript change its line numbers?
It should not. Use a PDF redaction method that removes content in place without reflowing text, and compare the final page and line structure with the certified original.
Should the certified transcript be modified?
Keep the received certified transcript unchanged and access-controlled. Make the redacted disclosure or filing copy from a duplicate and label it clearly.
Do transcript exhibits need separate redaction?
Yes. They may contain scans, images, metadata, or embedded files and should be inventoried, redacted, and verified independently before the package is assembled.
