PDF privacy checklist for small businesses
Small businesses often exchange contracts, invoices, IDs, resumes, and reports without a document-privacy specialist. A short checklist can prevent a routine PDF from exposing more than the recipient needs.
Before editing
Identify the purpose, recipient, and minimum required fields. Remove unnecessary pages and attachments. Keep the original in a controlled location and create a new delivery copy.
During review
Search names, email addresses, phone numbers, account numbers, addresses, signatures, and employee IDs. Inspect scanned pages, images, OCR, forms, comments, links, attachments, and metadata. Do not rely on cropping or colored shapes.
Before sending
Reopen the exported PDF in another viewer. Search again, inspect page thumbnails, test links, confirm page order, and check that sensitive attachments are gone. Use encryption and a separate password channel when policy requires it.
