How to add a confidential watermark to a PDF on a Mac
A confidential watermark is a notice and deterrent, not encryption or access control. Anyone who can open the PDF can still read and copy its content unless separate restrictions or redactions apply.
Choose a useful label
Use concise wording such as CONFIDENTIAL, DRAFT, or a recipient-specific line approved by policy. Avoid putting unnecessary personal data into the watermark; recipient email addresses may themselves become a disclosure if the file is forwarded.
For accountability, a footer with recipient, date, and document ID is often more readable than a giant diagonal mark. Tiled watermarks resist simple cropping but can interfere with dense text.
Set opacity and scope carefully
The mark should remain visible on screen and in print without hiding small type, signatures, or redactions. Preview light and dark pages, scans, and rotated landscape pages. Apply it to all required pages, including appendices and blank separators that could later receive content.
Do not place a watermark before final redaction review if it makes underlying text harder to inspect. A sensible order is redact, verify, then watermark and verify the new artifact again.
Understand removal limits
A PDF watermark is page content and may be removable by a determined recipient with editing tools. Rasterizing can make removal harder but sacrifices text and accessibility. Use access controls and contractual obligations for actual enforcement.
Check that the watermark did not cover Bates numbers or shift the page. Record the output hash and inspect metadata before release.
